Travel Grants Announced
Attention all Presenting Authors,

Application forms for the AHNS Travel Grants are now available to eligible candidates.  Eligible candidates are Ph.D. or M.D. students, residents, fellows, or postdoctoral fellows in training in the United States who have a research-oriented abstract selected for oral or poster presentation at the 7th International Conference on Head & Neck Cancer.

Approximately twenty (20) travel grants will be available.  Funds are to support travel costs and to partially cover housing expenses and will average $1,000.  Young investigators are encouraged to share rooms in order to help cover the cost of housing. 

To Apply:

  1. Download & complete the application form and return it to the AHNS Office no later than
    June 13, 2008

  2. Include a brief statement on your career goals.
  3. Include a letter from your Program Director verifying your status.

Notifications regarding your award status will be sent out on June 30, 2008.

The AHNS Travel Grants are supported by a generous grant from the
National Institutes of Health, National Institute of Dental and Craniofacial Diseases
and the National Cancer Institute.


Instructions for Manuscript Submission
Authors are strongly encouraged (but not required) to submit to Archives of Otolaryngology, the official journal for AHNS.  Please read the manuscript instructions below before going to the site and then follow the Instructions to Authors located on the Archives of Otolaryngology-Head & Neck Surgery web site: http://manuscripts.archoto.com.  Presentation of the work at the 7th International Conference on Head and Neck Cancer, July 19-23, 2008, San Francisco, CA should be acknowledged on the title page of the manuscript. 

Manuscripts to the Archives of Otolaryngology - Head & Neck Surgery must be submitted electronically via the following website: http://manuscripts.archoto.com/cgi-bin/main.plex

Registration:
  • If the individual is already registered, he/she just needs to log in.
  • If the individual is not yet registered, he/she will need to click on the link entitled “First-time user?  Please register for an account”, which is found on the bottom left side of the page.

Helpful submission hints for an original article:
  • The article file should be submitted in a Word format.
  • The article file should include a title page with word count, abstract, manuscript text, references, figure legends and tables in this exact order.  The word count is for text only, exclusive of title, abstract, references, figure legends and tables.  The fact that the paper is being presented at the ASPO meeting, the dates, and the location should be listed on the title page.
  • Each figure/image should be submitted in a separate file, in a TIF or JPG format.

Instructions for Presenting Authors

Oral Paper Presenters:

  • Proffered paper sessions are 90 minutes in length with 9 papers in each session. Each paper is allotted eight (8) minutes. We will use a timer, and adhere strictly to these time limits.  There will be a six-minute discussion period after every three (3) presentations.
  • All presenters will be required to include a disclosure slide to be shown in the beginning of their presentation. In addition to the disclosure slide, presenters are asked use generic and objective terms when referring to both devices and/or proprietary technology throughout their presentations. Download the Disclosure Slide template.
  • Presenters should arrive at the Speaker Ready Room at least TWO HOURS PRIOR to their presentation in order to upload their presentations onto the show computer.  The Speaker Ready Room will be the Nob Hill C, located on the Yerba Buena Ballroom level, just outside the main session ballrooms.   Secondly, presenters are asked to report to the moderator at the back of the meeting room 15 minutes prior to the start of the session.
  • Acceptable Formats:                         

File: CD Rom, DVD, Floppy Disk, and Zip disk (100 and 250, if you have a 750 disk bring your drive, Thumb or Pen drive, Microdrives, Compact Flash Card, SD Card, Multi-Media Card and Memory Stick)

Computer: PC (Macintosh files MUST be PC-compatible.)

Poster Presenters:

  • Posters will be divided into groups and displayed all day over three separate days.  Each day will end with a poster session, approximately 90 minutes in length. Accepted poster presentations will be presented orally during one of three nights of Poster Tours. Moderators will lead groups of attendees through a select group of posters, divided by topic, and authors will present their findings to the tour. Posters should fit on a poster board 4 feet high by 8 feet wide (121.92 cm by 243.84 cm).

  • Posters must be removed by the time shown below. Any posters left hanging during the changeover to the next session will be removed. Any posters not picked up by the close of the meeting will be thrown away and not mailed back to the author.
